As the brand continues to evolve and scale, they are looking for a highly organised, commercially aware, and driven Wholesale & Supply Chain Coordinator to join their team. Reporting to the Wholesale & Supply Chain Manager, this is an ideal opportunity for someone who wants to build a long-term career in fashion operations and supply chain within a fast-paced global brand.
The Role I
This role is responsible for supporting the day-to-day execution of our client's global wholesale business, ensuring orders are managed accurately and efficiently from order entry through to final shipment and delivery. The position plays a key part in coordinating the movement of stock, maintaining clear communication with customers and internal teams, and helping the business deliver against the sales plan.
Sitting at the intersection of Sales, Supply Chain, Logistics, Warehouse, Customer Service, and Finance, this role requires a high level of ownership, urgency, and attention to detail. The successful candidate will be expected to proactively manage competing priorities, solve problems quickly, and support continuous improvement across wholesale operations.
Key Responsibilities:
Manage the end-to-end execution of the global wholesale order book, from order entry through to final shipment and delivery, ensuring all customer details, shipping windows, and delivery requirements are accurate and up to date at all times.
Process order amendments, cancellations, swaps, and in-season orders with a high level of accuracy and urgency, and ensure all approved customer returns are reconciled and processed in line with business procedures.
Assist with pre-season order book set-up and launch preparation, ensuring clean and accurate data ahead of market, and monitor order status across all regions to flag risks, delays, or shortages in a timely manner.
Coordinate the timely allocation and release of stock to wholesale orders, and assist with allocation decisions to maximise order fulfilment against available inventory.
Liaise closely with warehouses, freight providers, and internal teams to ensure orders are shipped efficiently and accurately, managing booking requirements, delivery windows, and shipping instructions across local and international accounts.
Track outbound shipments and follow through on any delivery delays, discrepancies, or operational issues to resolution, maintaining strong service levels across all markets.
Support the management of third-party warehouse relationships and assist in preparing shipping schedules and rolling delivery forecasts based on stock availability, customer priorities, and operational constraints.
Monitor stock availability against wholesale demand, support forecasting processes, and maintain clear visibility across incoming stock, customer demand, and shipping readiness to identify fulfilment gaps early.
Partner with Sales to support account execution and respond quickly to in-season trading opportunities, and liaise with Finance to manage payment holds or account issues that may impact shipment release.
Attend weekly trading and operational meetings, providing clear updates on shipping performance, order book status, and priorities, and support the business with ad hoc reporting and analysis as required.
Maintain a high standard of data integrity across all order management and operational systems, identify process inefficiencies or recurring issues, and contribute to solutions that strengthen operational discipline across the wholesale and supply chain function.
Support the broader team during peak trade periods, market windows, and key delivery milestones, bringing a proactive, hands-on approach to ensure the business consistently achieves its operational goals.
The Skillset I
Previous experience in wholesale operations, logistics, supply chain, production administration, or a similar fashion operations role.
Experience within a fashion, apparel, or luxury/contemporary brand environment is essential.
Strong understanding of wholesale order flow, customer delivery requirements, and logistics coordination.
Exposure to international shipping and third-party warehouse operations is highly regarded.
Highly organised with the ability to manage multiple priorities and work at pace without compromising accuracy.
Excellent attention to detail and a strong sense of accountability.
Strong communication skills and confidence dealing with both internal stakeholders and external customers.
Commercially aware, solutions-focused, and able to think beyond pure administration.
Strong systems capability, including Excel and ERP/order management platforms.
A team player with a hands-on attitude and willingness to support the broader business where needed.
